About the role:

We are seeking a skilled and highly organised Executive Assistant to provide outstanding support to the CEO, Board of Directors, and various governance and industry committees. Coordination is at the heart of this role, it involves managing executive level administrative tasks, coordinating meetings, maintaining compliance, ensuring effective communication and project coordination. You will also:

  • Provide comprehensive executive support to the CEO, including calendar management, travel arrangements, and correspondence preparation

  • Coordinate and manage Board and committee meetings, including scheduling, agenda preparation, and logistics

  • Prepare and distribute meeting materials on time using BoardPro and attend meetings to record minutes and track action items

  • Maintain up-to-date records to ensure compliance with governance and reporting requirements

  • Oversee the organisation's governance calendar to meet deadlines for statutory requirements and reporting

  • Manage document filing systems, ensuring accessibility and proper record keeping

  • Continuously review and improve administrative processes to align with best practices and maintain compliance

The ideal Executive Assistant will:

  • Have 5+ years of demonstrated experience in providing executive support to a senior leader

  • Demonstrate knowledge of corporate governance and compliance, particularly for Incorporated Societies and Associations

  • Be experienced in working with boards, committees, or membership-based organisations

  • Have a proven track record in minute taking, with a relevant business or admin qualification

  • Possess strong Microsoft Office skills and exceptional communication abilities, both written and verbal

  • Be proficient in BoardPro, Monday.com, or similar tools (advantageous)

  • Manage competing priorities with strong time management, accuracy, and attention to detail
